Reproductive Inventory Management

Breeders using AI and embryo transfer programs often manage genetic material across five to ten external facilities (bull studs, IVF labs, vet clinics, university repositories) and track all of it in Excel spreadsheets or handwritten tank notes. BreederHQ replaces that with a structured inventory system that stays connected to your herd records and breeding plans.

Available for all species: Horses, Cattle, Camelids (Alpacas and Llamas), Goats, Sheep, Dogs, Cats, and Rabbits. Semen inventory links to male sires. Embryo inventory links to female donors with linked sires.

Semen and Embryo Lot Tracking

Every lot of genetic material gets a complete record. Not just a straw count, but the full context that matters for breeding decisions and compliance.

🧬 Semen Lots

  • Sire identity: linked to the animal record or manual identity entry for external sires
  • Collection date and method: AV, EE, or epididymal
  • Format and straw size: straw, pellet, vial, or ampule; quarter-ml or half-ml
  • Motility: pre-freeze and post-thaw percentages
  • Concentration and extender
  • CSS qualification and health testing documentation
  • Accession number, lot number, batch number, and label text

🔬 Embryo Lots

  • Donor dam and sire: linked to animal records or manual identity for external animals
  • Collection date and fertilization type: conventional flush, IVF, or ICSI
  • Embryo stage: morula, compact morula, blastocyst, expanded blastocyst, hatched blastocyst
  • Grade, freeze date, and freeze method (conventional, vitrified, direct transfer)
  • Sexed embryo flag with sex designation (male, female, or unknown)
  • Genetic testing status and results per lot

Storage Hierarchy: Five Levels Deep

BreederHQ models the complete storage chain from the organization that holds your material down to the individual position inside a container. Every level is independently managed so you know exactly where inventory sits regardless of how many external facilities hold it.

Storage Provider

The organization holding your material: bull stud, IVF lab, vet clinic, university repository, owner facility, or cooperative. Multiple providers can be configured per account.

Facility Site

The physical location of a provider, with address, contact information, billing status, and any site-specific notes. One provider can have multiple sites.

Storage Account

The billing account at a facility site. Multiple breeders may share a site but maintain separate accounts. Inventory lots are assigned to a specific account.

Container

The physical storage unit: LN2 tank, vapor shipper, dry shipper, freezer, or incubator. Containers have active/inactive status so decommissioned tanks are flagged appropriately.

Storage Position

Granular position within a container: cane code, canister number, goblet number, and any position notes. Supports approximate positions (flagged as such) when exact placement is not recorded.

Append-Only Quantity Ledger

Every quantity change is recorded as an immutable transaction event, not an edited number in a spreadsheet cell. The current quantity is always derived from the full event history, giving you a complete audit trail for compliance, insurance, or dispute resolution.

Transaction Types

  • +Received: new lot arrives from lab or stud
  • +Added: additional units added to existing lot
  • +Transferred In: material moved in from another account
  • Used: straws or embryos used in breeding
  • Transferred Out: material sent to another facility
  • Shipped: lot dispatched for use or transfer
  • Disposed: material discarded (with reason)
  • Lost: unaccounted loss
  • ±Adjusted: correction with explanation

Each Transaction Records

  • Transaction date and quantity change
  • Related animal (sire used, recipient, etc.)
  • Related breeding plan linkage
  • Performer identity (who recorded it)
  • Notes and context
  • Automatic lot status transitions (AVAILABLE → DEPLETED at zero)

Auto-depletion: When a lot reaches zero quantity, it automatically transitions to DEPLETED status. Depleted lots remain in the system with their full history intact; they are not deleted. The current quantity is always consistent with the ledger sum, enforced by the system.

Individual Unit Tracking

For programs that need detail below the lot level, BreederHQ supports individual unit tracking, with each straw or embryo as a discrete record.

Per-Unit Detail

  • Grade, stage, sex, and freeze code per unit
  • Status: available, reserved, used, disposed
  • Individual unit notes

Transfer Tracking

  • Recipient animal linkage (for ET transfers)
  • Transfer outcome recording
  • Traceability from unit to recipient animal to born offspring

Animal Profile

Semen lots automatically appear on the sire's profile. Embryo lots appear on both donor dam and sire profiles. The inventory tab shows current lots and quantity at a glance.

AI and ET breeding events link to the specific lot used. Quantity events record which breeding plan consumed which units, keeping the ledger and the breeding record synchronized.
