Your Breed Club.
Finally on Modern Tools.
A breed club runs on volunteer labor and a patchwork of 20-year-old software. Your stud book is a PDF. Your dues are a spreadsheet. Your event registration is a Google Form. Your member directory is out of date the day you publish it.
BreederHQ is your club's operational home: the breed registry (call it a stud book, a mother book, or whatever your club calls it), the member directory, the event management, the health surveillance, the communications, all in one place, powered by the data your members are already entering every day.
Breed Club Management in 2026 Is Harder Than It Should Be
Your members are dedicated. Your standards are real. But the tools you have to do this work? They haven't changed in 20 years.
Your stud book is a PDF
Published twice a year, six months out of date the day it drops, and impossible for anyone, including you, to actually search.
Applications arrive by paper, check, or email
A form here, a PDF health report there, a pedigree scan, and you re-key all of it into a spreadsheet. One litter takes an hour of someone's volunteer time.
Dues tracking is somebody's side job
A PayPal inbox, a Google Sheet, a separate membership tier spreadsheet, and an annual email asking "did you pay? I can't find the receipt." Renewal reminders are manual. Lapsed members just vanish without anyone noticing.
Every event is a fresh improvisation
National Specialty entries go through one system. Regional seminars use a different one. Fun matches use a Google Form. The catalog is hand-typed from email responses. Show results are PDFs nobody can search.
Health data doesn't flow back to you
Your members test. You require it. But the results live in a member's filing cabinet, you can't see breed-wide trends or spot outliers, only what gets manually submitted. Health surveys get 10% response rates.
Communicating with members is a mailing list from 2008
Yahoo Groups closed, the replacement is clunky, members miss half the emails, and nobody knows who's actually a current member vs. lurker. Announcements go into a void; responses come back scattered across four different channels.
Members live in five different systems
BreederHQ for management. AKC online for papers. Email for registrations. Facebook Groups for community. Spreadsheets for everything else. No single source of truth, and you're the last one to know when something changes.
Your breeder referral list is a PDF
Someone asks "do you know of a breeder in Ohio with a litter this spring?" and the answer is either "check our website PDF" (last updated in January) or "email the secretary." That's the public face of your breed.
You can't tell who's actively breeding
Your member list is dues-paid vs. lapsed. You have no idea which members are on their 8th litter this year and which haven't bred in a decade. That affects everything from mentorship matching to succession planning.
Disputes come down to "whose word do we trust?"
When two members claim the same stud, or a litter's sire is disputed, or a health clearance's validity is questioned, or a Code of Ethics complaint comes in, you have paperwork and testimony. No data.
Your members deserve better. Your breed deserves better.
And you deserve to get your Saturdays back.
Breed Club Software Capabilities: What Your Club Gets on BreederHQ
Every capability below is powered by the data and infrastructure already running on BreederHQ for your members. Your club doesn't build any of it. It just shows up, ready to use.
A live, queryable breed registry (your stud book, modernized)
- ✓ Every animal registered with your club, across every member, in one view
- ✓ Searchable by bloodline, sex, age, health status, registration type
- ✓ Updated in real time, the moment a member enters a record, you see it
- ✓ Export the full stud book as CSV, PDF, or via API. It's your data.
Structured data, not PDF attachments
- ✓ Health tests: OFA hips, elbows, DNA clearances, as structured records, not PDFs

- ✓ Genetics: coat color, health markers, breed-specific loci, all queryable
- ✓ Titles and show records, linked to the organization that awarded them
Registration approval workflow
- ✓ You define registration types: Full, Limited, Foundation, Conditional
- ✓ You set health testing requirements per registration type
- ✓ Members submit applications with supporting data pre-attached

- ✓ Segment members by tier, region, activity level, breeding frequency, compliance status
- ✓ See who's active vs. lapsed vs. dues-paid-but-silent. Target outreach accordingly.

- ✓ CSV export for your treasurer or historical records
Dues, fees, and renewals (Stripe-powered)
We already run Stripe Connect for platform subscriptions, marketplace listing fees, breeding program offspring fees, and service provider billing. Your club's dues collection plugs into that same pipeline with your club as the merchant of record.
- ✓ Automated annual dues billing with recurring Stripe subscriptions per member
- ✓ Renewal reminders 90, 60, 30 days out via email. Auto-pay for members who opt in.
- ✓ Failed-payment dunning: Stripe automatically retries, notifies the member, escalates to you if unresolved
- ✓ Grace periods, pro-rated joins, comped honorary members, lifetime members. You set the rules.
- ✓ One-time fees alongside recurring: registration fees, event entries, merchandise, donations, all through the same payment rails
- ✓ Funds settle directly to your club's bank account. Stripe Connect handles compliance, tax forms, chargebacks, disputes.
- ✓ Revenue dashboard: dues collected this quarter, renewal rates, tier distribution, year-over-year trends. Tax-time reports generated with one click.
- ✓ Your treasurer gets real accounting, not a PayPal export and a spreadsheet reconciliation nightmare.
Events, entries, and show results
- ✓ National Specialty, regional shows, seminars, fun matches, one entry system
- ✓ Members enter with pre-filled animal info: registration numbers, titles, photos
- ✓ Catalog generation, class splits, judge assignments from entry data
- ✓ Results flow back to the animal record, structured, searchable, permanent
- ✓ Payment processing for entries (we already run Stripe for marketplace fees)
Member communications
- ✓ Replace the mailing list: targeted announcements to current members only
- ✓ Segment by tier, region, activity level, or any member attribute
- ✓ Threaded discussion on topics, not chaotic reply-all email chains
- ✓ Inquiry routing: "I'm looking for a breeder" goes to the right members automatically
Breed health surveillance
- ✓ Aggregate health clearance rates: what % of club-registered animals are tested, cleared, affected
- ✓ Trend lines over time, is your breed's hip dysplasia rate improving? Is MDR1 declining?
- ✓ Identify outliers (both good and concerning) for targeted outreach or research
- ✓ Anonymized research exports for university partners and health foundations
- ✓ Real numbers, not 10% survey response rates
Automatic litter and offspring registration
- ✓ Member records a litter once. Every offspring is a real BreederHQ animal record with sex, markings, microchip, photos.
- ✓ The platform auto-generates a club registration application for each offspring that meets your rules (sire registered, dam registered, health requirements met).
- ✓ Applications arrive in your queue pre-validated: all sire/dam data, health clearances, and pedigree verified before a human ever looks.
- ✓ Members approve and pay the registration fee in one click. No forms, no mailed checks, no retyping.
- ✓ Litters that don't meet requirements surface the specific gap (missing health test, unregistered sire) instead of silently stalling.
Health compliance, automated
- ✓ Members are reminded automatically when a required test is due: OFA at 24 months, yearly eye exam, pre-breeding panels.
- ✓ Expiring clearances trigger renewal notices 90, 60, 30 days out. Nothing silently lapses.
- ✓ Club admins see a compliance dashboard: which members are on track, which have gaps, which are overdue.
- ✓ Registration gates: if a member tries to register a litter without required tests, they see exactly what's missing and how to fix it.
- ✓ Administrative escalation: members who are 30+ days overdue automatically land on your review queue with the specific gap flagged.
- ✓ Your Code of Ethics becomes enforceable because it's measurable.
Public presence & trust
- ✓
Branded public breeder directory at
breederhq.com/clubs/[your-club] - ✓ Club-issued badges: "Member in Good Standing", "Code of Ethics Compliant"
- ✓ Filtered marketplace view: buyers can search for animals from your club's members
- ✓ Code of Ethics documentation, dispute tracking, and resolution records

Breed Club Registration Workflow, From Your Member's First Litter
Imagine one of your members has just whelped a litter. Here's what happens.
They record the litter on BreederHQ
Like they do every time. Sire, dam, whelp date, offspring, sexes, markings, photos. It's their normal workflow, they're not doing anything extra for your club.
The platform suggests your club
Because they've entered a breed you're linked to, BreederHQ asks: "Are you a member of [your club]? Would you like to register this litter?" One click, they're in your application flow.
They submit, with all their data attached
Registration type, health compliance self-declared, their club membership number auto-filled from their profile. Every health test, pedigree link, and genetic result flows in with the application. No paper, no scans.
You see it in your approval queue
With health compliance flagged green or yellow before you look. Sire and dam link to their own records, not a typed string. Pedigree verified against the real stud's owner. You approve, reject with notes, or send back conditionally.
Approved. And now it's in your registry.
Instantly. Searchable. Linked to the breeder's animal record. If the offspring ever titles, the title shows up on their registration. If they go on to breed, the grandchildren appear in your registry automatically. The breed's history writes itself.
Frequently Asked Questions
What does it cost for a breed club to partner with BreederHQ?
Pricing is scoped to each club during onboarding. For early partners it's free: we're investing in this as a flagship feature, and in exchange we ask for honest feedback on what your club actually needs. Long-term pricing will be transparent and proportionate to club size; we'll never charge per-animal or take a cut of registrations.
Do my members have to switch from another tool?
No. Most of our breeder members are already tracking animals, health tests, and pedigrees on BreederHQ because it's the best-in-class tool for running their breeding program day-to-day. Your club registration becomes one more piece of structured data alongside everything they already have, not a new system they have to learn.
We already have a stud book on [WordPress / Excel / old database]. How does that migrate?
We'll help you import it. During onboarding we sit down with you, map your fields to ours, and move the historical stud book over. Registrations going forward flow in naturally as your members record animals.
Who owns the data?
Your club owns your registrations. Your members own their animal data. BreederHQ hosts and organizes it but never sells or licenses it. You can export your full stud book as CSV or JSON at any time. If you ever leave the platform, you walk away with everything.
What about privacy? Our members are protective of their bloodlines.
Privacy is opt-in at every level. A member's club registration is private by default, visible to them and to your club, but not to the public marketplace or to other breeders searching the network. Members decide per-registration whether to opt into network visibility. Your members stay in control of their data.
Can we require specific health tests as a condition of registration?
Yes. You configure the registration requirements, full, limited, foundation types, required health clearances, pedigree proof, age requirements, fee structure. Applications that don't meet them flag automatically. Your reviewers see everything needed to approve or reject without chasing members for attachments.
What if two members both claim the same animal or the same stud?
BreederHQ animals are identifiable across the entire platform. A stud owned by Member A can be linked as the sire of Member B's litter only with Member A's approval. The data makes cross-member disputes solvable, you can see the full provenance chain, not take one side's word against the other.
How fast can we be up and running?
Onboarding for a new club partner typically takes two to four weeks: kickoff call, stud book import, club registration rules and health requirements configured, admin accounts provisioned, and member communications prepared. Your members start seeing club integration on their animal records during that window. Bigger clubs with more historical data take longer on the import side.
Can our members get a discount on their BreederHQ subscription?
Yes. Partnering clubs get member-discount pricing set up during onboarding. The most common structure is a percentage off the standard subscription tier for verified dues-paid members, with a co-branded signup flow that activates the discount automatically when a member joins your club. We also offer bundled bulk licensing (the club pays a flat rate, your members get seats at no individual cost) and optional revenue share arrangements. We configure the structure that makes sense for your club size and member base.
What about discounts on marketplace listing fees?
Same answer: partner clubs can unlock reduced or waived marketplace listing fees for member-owned animals. Your members get more economical listings, you get a tangible benefit that strengthens your membership value proposition, and you can advertise that benefit on your own recruitment materials.
